How do website enquiries reach your system?
There are three common ways:
- Native intake form. The system gives you a form to embed on your website. Simplest, but design options can be limited.
- Integration. Your website's own form sends the enquiry to the system through a connector. More flexible.
- Email parsing. The form emails a set address that the system reads. Works almost everywhere, but less reliable.
Which kind of firm suits which kind of system?
Your firm Usually prioritise

High street firm doing conveyancing and private client
Strong conveyancing workflows, document automation, client portal

Flexible workflows, reporting, integrations

This is a starting point, not a recommendation. Ask for a demo using one of your own real matter types.
What happens to enquiries before they become matters?
Most systems are built around open matters. The weakest point in many firms is the gap before that: the website enquiry, the missed call, the email that sits in a shared inbox over the weekend. Before you choose software, map that journey. Who sees a new enquiry first? How quickly? How is it logged? A system with good intake tools can close that gap, but only if your website sends enquiries into it properly.
Questions to ask any provider
- Can we embed an enquiry form on our own website?
- Can website enquiries be routed by practice area?
- Is there an API, and is it included on our plan?
- Where is client data hosted?
- What does migration from our current system involve?
Frequently asked questions
What is the most popular practice management software for UK law firms?
Clio and LEAP are two of the most widely used systems among small and mid-size UK firms, with Osprey Approach and Actionstep also common. The right one depends on your practice areas, size and how you work.
Can website enquiries go straight into our practice management system?
Often, yes. Several systems offer web intake forms or integrations. Check with your provider what is supported on your plan.
Should we choose software based on website integration?
No. Choose it on how well it runs your matters, accounts and compliance. Website integration is a useful bonus, not the main reason.
Do you sell or resell practice management software?
No. We have no commercial relationship with any provider in this guide.
